Rate Cards
Rate cards can be used when you have special bill rates for different clients. To set up a rate card simply go to the account page for one of your clients and click on the Accounting tab, then select the Rate Cards tab.
As you can see in the above screenshot each rat card has a start date and end date. In this way you can easily determine the timeframe during which the rate card is active. The "Rate Source" field can be set to either "Fixed", if you have a fixed rate for that client, or "Work Roles". If "Work Roles" is set, then you will see a table with all of your existing work roles. You can then determine if you want to change the rate for a particular role by enabling the switch in the "Use Custom Rate" column.
Rate cards will be used if the Account and date range is within a given rate card for the selected account on the following items:
- Retainers
- Projects
- Work Items
Ultimately, however, it is time logs that determine if/when a rate card is used. For example, suppose you have a project whose start/end dates are within the date range for a rate card. When logging time against the project the relevant rate card will be referenced when determining the bill rate. However, if you log time to the project, but the date of the time log is outside the date range for a given rate card, then that rate card will not be used to determine the bill rate.
When creating, for example, a work item that is linked to an account with an active rate card you will notice that the Bill Rate Source is auto-selected to "Account Rate Card". However, you can change this to a different option if you need to bypass the rate card for that particular work item.
